2. Enquiries and bookings
Submitting an enquiry does not reserve a date and does not oblige either party to proceed. Before a booking is confirmed, we will provide or agree the key event details, scope of service, price and any payment schedule. The person making the booking (the Event Host) must have authority to enter into the booking and is responsible for providing accurate information.
3. The VAASAM experience
VAASAM provides a curated fragrance discovery and selection experience. Guests do not formulate or blend perfumes themselves. The agreed event proposal or booking confirmation will set out the service being provided, including the fragrances, quantities, staffing, personalisation and other inclusions where applicable.
4. Fragrance selection and availability
Fragrance availability can be affected by circumstances outside our reasonable control, including supplier or ingredient availability. If an agreed fragrance becomes unavailable, we will contact the Event Host and, where reasonably possible, offer a suitable alternative. We will not make a material substitution without telling the Event Host.
5. Guest safety
VAASAM fragrances are cosmetic products for external use. Guests should read the ingredient information and all product-specific precautions before use and should not use a product containing an ingredient to which they know they are allergic or sensitive. 6. Children and supervision
Where children are present, the Event Host and responsible adults remain responsible for their supervision. Fragrances must be kept out of reach of young children and away from ignition sources. We may decline to provide a fragrance directly where we reasonably believe doing so would be unsafe.
7. Venue, access and Event Host responsibilities
The Event Host is responsible for obtaining venue permission for the service and for giving us accurate access, parking, loading, timing and venue-rule information. The Event Host must provide a safe and suitable operating area and tell us in advance about relevant restrictions. Additional costs caused by materially inaccurate or late information may be charged only where they are reasonable, explained and agreed where practicable.
8. Guest numbers and changes
Pricing and quantities may depend on the agreed guest count. The Event Host should tell us promptly about significant changes. Any change to price, quantities, staffing or service resulting from a requested change will be explained before it is agreed.
9. Prices and payment
The price and payment schedule for a booking will be stated in the quotation or booking confirmation. We will not treat a payment as automatically non-refundable merely because it is described as a deposit. If a booking is cancelled, any amount retained or charged will be limited to what is fair in the circumstances and reflects losses we are legally entitled to recover, taking account of costs saved and reasonable steps to reduce our loss.
10. Cancellation and rescheduling by the Event Host
If you need to cancel or request a new date, contact us as soon as possible. We will explain the financial effect based on the timing, work already carried out, personalised or specially ordered items that cannot reasonably be reused, other losses directly caused by the cancellation, and any costs we can reasonably avoid or recover. Where rescheduling is possible, we will try to accommodate it, subject to availability and any reasonable additional costs.
11. Cancellation or disruption by VAASAM
If we cannot provide the agreed service because of circumstances within our control, we will work with you on an appropriate remedy, which may include rescheduling, a suitable alternative or a refund for the part of the service not provided. If an event outside our reasonable control prevents or materially delays performance, we will contact you as soon as reasonably possible and take reasonable steps to minimise the effect. Your statutory rights are not affected.
12. Personalised items
Where the Event Host approves names, dates, wording, artwork or other personalisation, they are responsible for checking the approved details carefully. We remain responsible for producing items in accordance with the final approved specification. Changes requested after production has begun may involve reasonable additional costs.
13. Conduct and damage
We may pause or stop the service where continuing would create a genuine safety risk, involve unlawful conduct, or expose our staff or property to serious abuse or damage. The Event Host may be responsible for loss or damage to VAASAM property caused deliberately or negligently by the Event Host or their guests, but only to the extent permitted by law and reflecting the actual reasonable loss.
14. Photography and marketing
We will not treat acceptance of these booking terms as consent for identifiable photographs of the Event Host or guests to be used for marketing. Where we wish to use identifiable event imagery, appropriate permission will be obtained separately.
15. Liability and statutory rights
We do not exclude or limit liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or rights and remedies that cannot legally be excluded. Nothing in these terms affects a consumer’s statutory rights. Any other limitation or allocation of responsibility will apply only to the extent permitted by law and in a fair and proportionate way.
16. Complaints
If something is not right, please contact us promptly at enquiries@vaasam.co.uk with enough information for us to investigate. We will try to resolve concerns fairly and reasonably.
17. Governing law
These terms are governed by the law of England and Wales. If you are a consumer resident elsewhere in the UK, you may also have rights to bring proceedings in the courts applicable to where you live. Nothing in this clause removes rights that applicable consumer law gives you.
18. Changes to these terms
We may update the website version of these terms from time to time. The terms applicable to a confirmed booking will be the version incorporated into or supplied with that booking, unless a later change is agreed or required by law.
